Job Summary

Our client, a growing non-profit organization, is seeking a Controller to join its team.  This is a newly created position to support the organization’s continued growth.  The Controller is responsible for all operational aspects of accounting, finance and treasury for the organization, its foundation and four other entities.  This will involve direction of staff assigned to specific areas of responsibility and review of their work output, preparation of accounting records in accordance with Generally Accepted Accounting Principles (GAAP), identification of opportunities for automation and integration of financial systems, while maintaining a satisfactory set of internal controls.

Responsibilities include but are not limited to the following areas:

Finance and Accounting

  • Ensure accounts, ledgers and reports comply with GAAP and regulatory requirements.
  • Ensure appropriate segregation of duties, review and approve month-end entries and reconciliations to produce accurate financial statements for all entities managed by the organization.
  • Monitor financial results and, on a monthly basis, meet with staff and the leadership of all six entities financially managed by the organization  to evaluate financial performance and status.
  • Prepare financial analysis, forecasting and reporting to organization  staff and senior management of other entities. 
  • Serve as primary point of contact with outside auditors to coordinate audit activity and prepare and review audit schedules as outlined. 
  • Oversee the preparation and required filings of tax reporting including but not limited to payroll taxes, IRS Forms 990 and 1099 as well as unclaimed property and charitable registration filings. 
  • Review and approve payroll. 
  • Ensure appropriate expense allocations across departments as well as entities for grant, internal and external financial reporting. 
  • Ensure appropriate collection efforts for all non-governmental billings across multiple entities, revenues streams and processes. 
  • Review vendor contracts to ensure proper accounting and maintain contract administration.  
  • Maintain administrative oversight for credit card access and spending limits.  
  • Provide guidance to all on financial issues including finance and accounting best practices and policies.    
  • Assume other duties as assigned by the Vice President of Finance and Administration.

Grants Management

  • Prepare and update as necessary, all indirect rate cost proposals.
  • Prepare all grant reporting and review monthly drawdowns for accuracy.
  • Ensure accurate financial data is provided for all grant proposals and all subrecipient audit reports are reviewed annually.
  • Manage and optimize grants, and indirect costs from private and federal sources.
  • Ensure that a documented system of accounting policies and procedures is in place and operating effectively, which conforms to the Uniform Grant Guidance.
  • Oversee all financial, project/program and grants accounting; ensure that expenditures are consistently aligned with grant and program budgets throughout the grant/fund period; and coordinate accurate financial reporting materials to all grantors.

Annual Budget Process

  • Assist the VP of Finance and Administration with the annual budgeting and projection process.
  • Monitor and report on budget to actual performance at the entity, department and grant level.

Cash Management and Investments

  • Prepare cash flow projections, monitor operating account balances, and recommend necessary cash transfers.
  • Review the monthly bank reconciliations and investment reconciliations.

Internal Controls

  • Develop, communicate, update, and monitor the Finance and Accounting policies and procedures.
  • Review and update Finance standard operating procedures (SOPs) to clarify roles and responsibilities and ensure appropriate segregation of duties.
  • Coordinate with the Vice President of Finance and Administration to assign system rights and responsibilities within the accounting and payroll systems to ensure segregation of duties with appropriate access.
  • Maintain internal control and safeguards for receipts, payments, fixed assets and recording transactions.

Qualifications and Experience

  • Degree in accounting or related business field.
  • 10+ years of broad financial experience with at least three years’ experience as Director of Finance and Administration or Controller.
  • Experience administering Federal grants is desired.
  • CPA and/or MBA preferred.
  • Nonprofit organization with a budget of at least $10 million preferred.
  • Knowledge of Great Plains or similar accounting software preferred.
